Job Title: CMA/RMA Department: Medical

Status: Part-Time FLSA Classification: Non-Exempt

Clinical Supervisor: Medical Director or Assigned Provider

Administrative Supervisor: Director of Revenue Cycle/Practice Administration

Job Summary: The MA/RMA is responsible for rooming clients prior to their scheduled MD/APRN appointment, maintaining documentation in charts per OBHAW guidelines, returning patient phone calls per OBHAW guidelines, completing medication refill requests per OBHAW guidelines, providing medication education print outs per OBHAW, completing waived testing per OBHAW guidelines, assisting with medication prior authorizations when indicated, and services according to established performance indicators.

Essential Duties:

  • This position is a safety-sensitive position. The employee holding this position has the responsibility for his/her own safety or other people's safety. An employee has to be with a clear mind and diligent while occupying such position.
  • Work with team to schedule medical appointments per OBHAW guidelines as needed.
  • Coordinate scheduling for all medical appointment types including but not limited to PDA's, Med Checks, Pain Evals, and MMO for all medical providers at all locations.
  • Ensuring the provider has all records and information needed for new clients' appointments.
  • Forward clients to engagement specialist for follow up where recognized.
  • Work with the team to cover each OBHAW facility where a nurse or medical assistant is needed.
  • Provides assistance and support to providers for medical services.
  • Maintaining accurate inventory of all medications and ensuring medications are stored in a secure location.
  • Print out education on desired effects and possible side effects of medication when requested.
  • Documenting services according to OBHAW procedure.
  • Ensure that follow-up calls are made for clients with medication concerns.
  • Oversee lab requests. This includes faxing lab requests to the requested facility and following up to ensure results are in the chart.
  • Back up for refill requests
  • Triage medical faxes.
  • Handles and monitors prior authorizations for medication in a timely manner for all medical providers as needed when assigned office staff is not available.
  • Entering assessments into the chart as requested such as but not limited to the PHQ9 or the GAD.

Expectations:

  • Follow appropriate lines of communication to report and resolve problem situations according to established guidelines, chain of command, and approved committee actions.
  • Accept constructive criticism related to performance and demonstrating acceptance by taking personal responsibility for appropriate change.
  • Use appropriate e-mail etiquette such as replying to e-mails in a timely fashion, using discretion when forwarding another person's e-mail, encrypting all non OBHAW emails, and using personal e-mail accounts for non-work-related e-mails.
  • Adhere to work schedule and submitting requests for leave according to OBHAW procedures. Unscheduled PTO/Absences (leave taken that is not scheduled and approved in advance) should not exceed 3 in a 12-month period.
  • Perform other work-related tasks as requested by an authorized supervisor.
  • Comply with OBHAW computer, social media, and internet usage policy, reporting problems, and suggest improvements to OBHAW procedures, software, and equipment.
  • Complete required annual online training (Relias) and any other training according to OBHAW

Required Skills / Abilities

  • Capacity to function effectively within the context of the cultural beliefs, behaviors and needs of clients and the community.
  • Working knowledge of and ability to use personal computer for E-mail and electronic medical record.
  • Child abuse statutes and mandated reporting
  • Competency in Waived Testing and Injections
  • CPR and Verbal De-escalation training are required for this position.
  • First Aid and Handle with Care are not required for this position.

Education and Experience

Incumbent must possess Certification as a Medical Assistant in the State of Arkansas or obtain certification with six (6) months of employment in this position. Certification must be maintained for the duration of employment in this position.

Physical Requirements

The physical demands described here are representative of those that must be met by an employee to successfully perform essential functions of this job. The employee must have the ability to use a computer as required. The employee must be able to communicate with others in an understandable manner. The employee must be able to operate standard office equipment. There is a moderate level of activity including moving throughout the building occasional moving of light equipment involved in the position. Regular attendance at work is a requirement of this position.
