Job Description: Program Coordinator

Job Title: Program Coordinator        

Hours of Work:  40 hours per week  

FLSA Classification:  Exempt

Location:  Position is responsible for both the Malvern and Arkadelphia offices and is based primarily in Malvern

Job Summary:  

The Program Coordinator is responsible for the overall management and operation of the programs to include: Program Planning, budgeting, program development, administrative and clinical supervision of staff, ensure that program meets licensing standards for all applicable agencies, liaison with referral sources and provide mental health services to individual and families according to established performance indicators and LAC licensure supervision if qualified as time permits in accordance with OBHAW's Mission, Vision and Values.

Supervisory Responsibilities:

  • Documented Supervision of Staff as required by guidelines
  • Timecards, PTO approvals, Chart Audits, Yearly Evaluations, Most Competencies, P4P Expectations
  • Quality of Care for Clients
  • Managing Caseloads
  • Managing Complaints
  • Ensuring Program Coverage
  • Making quality and timely decisions for staff and department
  • Ensure appropriate resources for department and staff
  • Support, promote and enhance the Mission, Vision and Values of OBHAW
  • LMSW/LAC Licensure Supervision
  • Participate in T.E.A.M. meetings and with other departments for successful collaboration and communication
  • Active participation on new hire onboarding

Essential Duties:

  • Capacity to function effectively within the context of the cultural beliefs, behaviors and needs of clients and the community
  • CPR and Handle with Care if required
  • Clean background check
  • Working knowledge of and ability to use personal computer for E-mail and electronic medical record.
  • Child abuse statutes and mandated reporting

Required Skills / Abilities /Education and Experience

  • Master's degree or higher in social work, counseling or related field
  • Licensure as a mental health professional in the state of Arkansas
  • 3-5 years' experience in clinical treatment and Medicaid regulations
  • Supervisory experience preferred

Performance Expectations:

  • Provide 4.5 hours of medically necessary services per day, approximately 270 per quarter (on average).
  • See a variety of clients ages 4-99+
  • Manage/Coordinate Open Access and Crisis Response for Malvern and Arkadelphia offices
  • Ensure completion of supervision according to OBHAW standards
  • Ensure program meets Clinical KPI expectations for budget
    • FY 2025 Budget will meet or exceed budget per department each quarter
  • Ensure program meets Clinical expectations for quality of care
    • 90% positive response from client survey
  • Ensure program meets Clinical KPI expectations for clinical dashboard
    • Outcome assessment to be completed at a minimum every 3-6 months.
    • 60% improvement in OBHAW scoring across one or more VBC measures (PHQ, DLA, GAD, PCL-5, SCARED, total) and/or participation in development of a successful measurement tool for the program
    • 15% or lower DNKA rate
    • Assist in developing metrics for late notes/late treatment plans with a goal of overall average of 95% completed notes/treatment plans on time
  • Program meets Clinical KPI expectation for therapeutic specialization
    • 100% of MHPs in program complete one EBP training or certification
  • Program meets Clinical KPI expectation for Direct Service Time (DST)
    • Staff in the program meet 95% of DST standard for the position each quarter
  • Program meets Clinical KPI expectation for Cultural Care
    • Address 1 program area of cultural responsiveness (ex. Perinatal Mental Health, Geriatric health, other responses from Service Gap Needs Assessment).
  • Work at least one day per week in Arkadelphia, AR
  • Provide monthly team staffing
  • Coordinate communication and good client care across departments.
  • CPR and HWC are not required for this position.
  • Verbal de-escalation is required for this position.

Physical Requirements

The employee must have the ability to use a computer as required. The employee must be able to communicate with others in an understandable manner. The employee must be able to operate standard office equipment. There is a moderate level of activity including moving throughout the building occasional moving of light equipment involved in the position. Regular attendance at work is a requirement of this position.
